We advise that you go through the terms and conditions of the Nepal Tour guide Team prior to making any reservation in any one of our trip packages. Once you confirm your reservation, it is deemed that you have agreed to our rules and regulations. In case of any questions or clarification required pertaining to our terms, do not think twice to ask us for we are here for you!

Nepal Tour Guide Team is a team of dedicated, qualified professionals committed to the objective of reliable and trustworthy tour and trekking service. We are registered under the Government of Nepal, the Nepal Tourism Board, hence fully complying with the industry standards.

Terms and Conditions

Welcome to Nepal Tour Guide Team Trek & Expedition Pvt. Ltd. These Terms and Conditions govern all bookings, payments, cancellations, and general policies related to your tour, trek, or travel service with us. By confirming your reservation, you agree to be bound by the following terms and conditions.

1. Booking Processrr

To confirm your trip with Nepal Tour Guide Team Trek & Expedition Pvt. Ltd., you must:

• Complete the booking form with accurate personal details (full name as per passport, nationality, passport number, etc.)

• Pay a non-refundable 20% advance deposit of the total trip cost.

• Submit a scanned copy of your passport and a passport-sized photograph via email or our website.

Once we receive your deposit and documents, we will issue a confirmation email along with a detailed itinerary and invoice.

2. Payment Policy

We accept payment through the following methods:

• Bank Transfer

• Credit/Debit Card

• Cash Payment (for remaining balances upon arrival)

The remaining 80% of the total trip cost must be paid upon arrival in Nepal, either before or during your trip.

Note: Bank charges for money transfers or card payments are the client’s responsibility.

3. Cancellation Policy

If you cancel your trip, the following cancellation charges apply:

• More than 30 days before the trip: 15% of the total cost will be charged.

• 15–30 days before the trip: 30% of the total cost will be charged.

• 7–14 days before the trip: 50% of the total cost will be charged.

• Less than 7 days or no-show: 100% of the total cost will be charged.

Important: The 20% advance deposit is non-refundable under all circumstances.

4. Trip Amendments

We understand that plans may change. If you need to reschedule your trip:

• Inform us at least 15 days in advance of your original departure date.

• We will reschedule your trip at no extra cost (subject to availability).

• Any price differences due to seasonal rate changes or new arrangements will be applied.

5. Travel Insurance

All clients are required to have travel insurance before beginning their trip. Insurance should cover:

• Trip cancellation

• Emergency evacuation

• Medical treatment

• Accidents and injury

• Loss or theft of belongings

Nepal Tour Guide Team Trek & Expedition Pvt. Ltd. is not liable for any loss, injury, or medical emergency incurred during the trip.

6. Health and Fitness Requirements

Trekking and adventure activities in Nepal can be physically demanding. Clients are responsible for:

• Assessing their own fitness level.

• Consulting a physician before undertaking high-altitude or strenuous trips.

We reserve the right to cancel or alter any part of the itinerary if a client’s health condition poses a risk.

7. Program Changes and Delays

Unforeseen events such as weather conditions, political disturbances, natural disasters, or flight delays may require us to:

• Modify or cancel part of your itinerary.

• Arrange alternative transportation or accommodation.

In such cases, Nepal Tour Guide Team Trek & Expedition Pvt. Ltd. will not be liable for additional expenses incurred, though we will do our best to offer assistance.

Domestic Flight Delay, Cancellation, and Extra Charges for Helicopter Ride

Flight delays and cancellations are common in mountainous regions of Nepal due to unpredictable weather conditions and limited visibility. These disruptions can affect your travel plans, especially in areas like Lukla, Jomsom, or the Everest region. Please note that Nepal Tour Guide Team Trek & Expedition Pvt. Ltd. is not responsible for any additional expenses, delays, or inconveniences caused by such circumstances.

We strongly recommend that travelers plan their itinerary with at least 1 to 2 extra days, especially for treks in remote or high-altitude regions, to avoid missing international flights due to potential domestic flight delays.

In case of flight cancellations or long delays to/from Lukla or other remote airports, a chartered helicopter may be required to ensure timely trek departures or returns. Helicopter services can often operate when airplanes cannot. These helicopters are typically shared by up to five (5) passengers, and the cost will be borne by the client(s). The approximate cost is USD 575 per person (one way), but this is subject to change based on weather, demand, and availability.

Please note:

• Helicopter rides are an additional cost, not a replacement for the domestic flight.

• If you choose to use this option, we will assist in organizing the helicopter and provide all required documentation, including receipts and a formal letter for insurance purposes.

• Clients with comprehensive travel insurance may be able to claim these unexpected costs later.

We encourage all travelers to have flexible travel dates and adequate insurance coverage that includes emergency evacuation and trip interruptions.

8. Liability Disclaimer

Nepal Tour Guide Team Trek & Expedition Pvt. Ltd. is not responsible for:

• Accidents, injuries, or loss of life during the trip.

• Damage or loss of personal belongings.

• Delays, cancellations, or changes due to force majeure.

We act as an agent for transport providers, hotels, and other third parties. As such, we are not liable for their services or any inconvenience caused by their acts or omissions.

9. Passport and Visa

Clients are responsible for:

• Obtaining a valid Nepal visa (available on arrival or online).

• Carrying a passport valid for at least six months beyond the trip date.

We can assist you with visa information, but final responsibility lies with the traveler.

10. Complaints and Disputes

If you experience any problems during your trip:

• Notify your guide or our office immediately.

• We will do our best to resolve the issue promptly.

Any legal disputes will be handled under the jurisdiction of the Government of Nepal and settled in a court of law in Kathmandu.
